Non-Discrimination Policy and Procedure
I. Policy Statement
It is the policy of C-SUITES SOLUTIONS LLC to ensure equal opportunity and equitable treatment for all individuals in accordance with applicable federal and state civil rights laws. Discrimination, harassment, or retaliation on the basis of race, color, national origin, sex (including pregnancy, sexual orientation, and gender identity), religion, age, disability, or any other protected class is strictly prohibited.
C-SUITES SOLUTIONS LLC complies with the following laws and regulations:
- Title VI of the Civil Rights Act of 1964 – prohibits discrimination on the basis of race, color, or national origin in programs and activities receiving federal financial assistance.
- Title VII of the Civil Rights Act of 1964 – prohibits employment discrimination based on race, color, religion, sex, or national origin.
- Section 504 of the Rehabilitation Act of 1973 – prohibits discrimination on the basis of disability in programs and activities that receive federal financial assistance.
- Age Discrimination Act of 1975 – prohibits age discrimination in programs or activities receiving federal financial assistance.
- Americans with Disabilities Act (ADA) – prohibits discrimination against individuals with disabilities in all areas of public life, including employment and access to public services.
- Tennessee Public Chapter 502 – mandates nondiscrimination in services and programs funded by the state, ensuring individuals are not treated differently based on protected characteristics.
II. Scope
This policy applies to:
- All employees, applicants, volunteers, contractors, and clients of C-SUITES SOLUTIONS LLC
- All programs, services, and activities administered by or on behalf of C-SUITES SOLUTIONS LLC
- All facilities and locations operated by C-SUITES SOLUTIONS LLC
III. Prohibited Conduct
Prohibited conduct includes, but is not limited to:
- Denying access to services, employment, or benefits based on protected characteristics
- Harassment, whether verbal, physical, or visual, based on race, color, national origin, sex, religion, age, or disability
- Retaliation against any person who has filed a complaint, participated in an investigation, or opposed discriminatory practices
IV. Complaint Procedure
Any individual who believes they have been subjected to discrimination, harassment, or retaliation may file a complaint using the procedure outlined below.
Step 1: Filing a Complaint
- Complaints may be submitted in writing, verbally, or by alternative format (e.g., large print, Braille, or audio) if needed due to disability.
- Complaints should be filed as soon as possible, but no later than 180 days after the alleged act of discrimination.
- Complaints should include the following:
- Name, address, and contact information of the complainant
- Date(s) and description of the alleged discriminatory act(s)
- Name(s) of the person(s) alleged to have engaged in discrimination
- Name, address, and contact information of the complainant

Step 2: Investigation
- The Civil Rights Coordinator will acknowledge receipt within 10 business days.
- A prompt, thorough, and impartial investigation will be conducted, typically within 30 calendar days.
- All parties involved will be given the opportunity to submit evidence and identify witnesses.
Step 3: Resolution
- The investigator will issue a written decision summarizing findings and actions to be taken, if any.
- If discrimination is found, corrective action will be taken promptly, which may include training, disciplinary action, or changes in practices.
Step 4: Appeal
- If the complainant is dissatisfied with the decision, they may file an appeal within 10 business days of receiving the outcome.
- Appeals will be reviewed by a designated senior official or external party.
- A final decision will be issued within 15 business days of the appeal.
V. External Complaint Options
In addition to filing with C-SUITES SOLUTIONS LLC, individuals may also file complaints directly with:
- U.S. Department of Health & Human Services, Office for Civil Rights
- U.S. Equal Employment Opportunity Commission (EEOC)
- U.S. Department of Justice, Civil Rights Division
- Tennessee Human Rights Commission
- Tennessee Department of Human Services, Office of Civil Rights
VI. Accommodations
C-SUITES SOLUTIONS LLC will provide reasonable accommodations to individuals with disabilities and language assistance to individuals with limited English proficiency to ensure full access to its programs and services.
VII. Non-Retaliation
Retaliation against an individual for filing a complaint or participating in an investigation is strictly prohibited and will result in disciplinary action, up to and including termination or dismissal from services.
